The information we collect

When you contact us through this website

If you complete a contact form on this site, we collect your first name, last name, email address and the content of your message.

When you download a guide or join our mailing list

We collect your name and email address, and a record of what you asked for and when.

When you become a client

If you go on to work with us, we will collect considerably more information in order to advise you properly. This typically includes:

- Contact details and date of birth
- Financial information — income, expenditure, assets, liabilities, pensions, investments, protection policies
- Employment and business details, including company accounts and shareholdings where relevant
- Family circumstances, including details of your spouse, partner, children or dependants
- Identification documents required for anti-money laundering checks
- Health information, where this is relevant to protection or annuity advice

Some of this is special category data under UK data protection law — health information in particular. We only collect it where it is necessary for the advice you have asked us to give, and we handle it with additional care.

Where you give us information about other people, such as your spouse or children, you should make them aware that you have done so and that this policy applies to that information.

When you use this website

Our website is built on the Wix platform. Wix places cookies and collects certain technical information automatically, such as your IP address, browser type, device type and the pages you visit. Some of these cookies are necessary for the site to function; others are used for analytics.

Email marketing

If you download a guide from our website, sign up to our mailing list, or ask to hear from us, we will use your name and email address to send you material we think you'll find useful — typically financial planning insights relevant to business owners and their families.

How we're allowed to do this.

We send marketing emails on the basis of your consent. We ask for that consent separately from anything else, and we will never add you to our mailing list simply because you contacted us with an enquiry or downloaded a guide. If you have only asked for a guide, you will receive the guide.

Who we use.

Our email marketing is delivered through Brevo, a platform operated by Sendinblue SAS, a French company. Your name, email address and engagement history are stored on Brevo's systems, which are located within the European Union. Brevo acts as our data processor and handles your information only on our instructions, under a data processing agreement.

What we send.

Educational content, occasional updates about our services, and notice of any events or sessions we're running. We do not send third-party advertising and we do not share your details with anyone else for their marketing.

How we track it.

Brevo records whether our emails are delivered, opened, and which links are clicked. We use this to understand what's useful and to stop sending to addresses that never engage. If you'd rather we didn't track this, tell us and we'll remove you from the list.

Stopping. 

Every email we send has an unsubscribe link. You can also email dan@wilfredsons.co.uk at any time. We will action it promptly and you do not need to give a reason. You have an absolute right to object to direct marketing, and withdrawing consent is as easy as giving it.

How long we keep you on the list.

We keep you on our mailing list until you unsubscribe, or until you have not opened any of our emails for 24 months, whichever comes first. At that point we will either ask whether you'd like to stay, or remove you.

Who we share your information with

We do not sell your data, and we do not share it for anyone else's marketing purposes.

We may share your information with:

- New Leaf Distribution Limited, our principal firm, for compliance oversight and file checking
- Brevo (Sendinblue SAS), our email marketing platform, where you have subscribed to hear from us
- Wix, who host this website and process contact form submissions
- Product and platform providers — pension companies, investment platforms, insurers — where this is necessary to arrange or administer something on your behalf
- Our professional advisers, including compliance consultants, auditors and IT providers who host or support our systems
- Your other professional advisers, such as your accountant or solicitor, where you have asked us to work alongside them
- Regulators and law enforcement, including the FCA and HMRC, where we are legally required to do so

Where we use third-party suppliers to process data on our behalf, we require them to keep it secure and to use it only for the purposes we specify.

 

Information processed outside the UK

Some of our suppliers process data outside the UK.

Brevo stores and processes data within the European Union. Transfers to the EEA are covered by the UK's adequacy regulations, which means the information is treated as having equivalent protection to that provided under UK law.

Where any supplier processes data outside the UK or the EEA, we take steps to ensure appropriate safeguards are in place, such as International Data Transfer Agreements or an adequacy decision.

How long we keep it

Enquiries.

If you contact us but do not become a client, we will normally delete your enquiry within 12 months.

Mailing list.

If you have subscribed to our mailing list, we keep your details for as long as you remain subscribed, or until you have not engaged with our emails for 24 months. If you unsubscribe, we keep a minimal record of your email address on a suppression list so that we do not accidentally contact you again.

Clients.

If you become a client, we are required to keep records for a substantial period after our relationship ends. This is generally a minimum of six years, and indefinitely for pension transfer advice and certain other categories, in line with FCA requirements and our professional indemnity insurance obligations.

How we keep it safe

We use encrypted storage, access controls and secure communication methods. Where we send you documents containing personal or financial information, we use secure means rather than ordinary email.

No system is completely secure. If a breach occurs that is likely to affect your rights, we will tell you and report it to the ICO as required.

Your rights

Under UK data protection law you have the right to:

- Access the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Erase your information, where we have no continuing legal or regulatory reason to keep it
- Restrict or object to how we use it
- Object to direct marketing at any time — this right is absolute
- Portability — receive certain information in a machine-readable format
- Withdraw consent where consent is our lawful basis

To exercise any of these, email dan@wilfredsons.co.uk. We will respond within one month.

Please note that our regulatory record-keeping obligations mean we cannot always delete client records on request.

Complaints

If you are unhappy with how we have handled your information, please tell us first — we would rather put it right.
